How do I import exported hits into my reference management program during a database search?

Reference management programs offer different ways to import hits from literature databases. One possibility is to export the hits as a file in an exchange format and then import this export file. Although this is a little more complicated than a direct import, it is a very reliable way, which is especially suitable for extensive hit lists.

The export files are normally structured text files in various formats, for which suitable text filters must be selected during import into the reference management program. Here is the procedure for the most common databases and in particular the formats that the medical sublibrary provides for search support.

Citavi and Endnote give instructions for the individual text filters on how the files from the databases should be saved.


Citavi

Menu: File --> Import... --> Text file (RIS-, BibTeX, etc.) --> Select a text filter --> select the data or file to import --> continue with the wizard.

The text filters for the most important databases:

  • PubMed: PubMed (MEDLINE)
  • EMBASE (Ovid), ovd file: OvidSP
  • MEDLINE (Ovid), ovd file: OvidSP
  • Cochrane Library: The Cochrane Library
  • Web of Science: Web of Science (WoS)
  • CINAHL (EBSCOhost) (ris file): RIS
  • PsycINFO (EBSCOhost) (ris file): RIS
  • PSYNDEX (EBSCOhost) (ris file): RIS
  • ClinicalTrials: ClinicalTrials.gov
  • PROSPERO: PROSPERO
  • Google Scholar (ris file): RIS
  • RIS file (export format of various databases): RIS

If you are missing a text filter in the selection list, you can search for and add it by clicking on the button "Add import filter".

Menu File -> Import -> File...

Within the import window

  • select the file to be imported,
  • select the correct text filter (Import option),
  • the handling of duplicate entries (duplicates) and
  • if necessary, specify the character encoding of the import file (often: Unicode (UTF-8)).

If a text filter is missing in your selection list, you can add it by selecting the "Other Filters..." option in the selection list. In the selection dialog that appears, you can search for the appropriate filter.
