4. Purpose of data collection: 
   Your data is collected and stored so that we can send you the UR.Equal Opportunities newsletter and to document your consent to receive it. Your data will not be disclosed to third parties, published, or used for advertising purposes.
5. Categories of recipients and data transfer: 
   The Equal Opportunity Coordination Office manages the newsletter and the associated mailing list. Your email address is viewed, managed, and used exclusively by members of the Equal Opportunities Coordination Office for the aforementioned purpose. Your email address is not publicly displayed, and no data is transferred to third countries or international organizations. The German Research Network (DFN) is responsible for the technical support of the DFN-Listserv server on which your data is stored.
6. Legal basis:
   We require your consent to collect and store your email address. You provide this consent via a “double opt-in procedure”: When you sign up for the newsletter, you will receive a confirmation request via email, which you must confirm. We then add you to the mailing list, and your subscription becomes active. Through this process, we document your consent to data storage based on Article 6(1)(a) of the GDPR.
7. Retention period:
   You can unsubscribe from the newsletter at any time by using the unsubscribe link included in each message, or by unsubscribing directly on the DFN mailing list unsubscribe page. After you unsubscribe, your email address will be automatically removed from the distribution list, provided there are no legal retention requirements.

8. Your rights: 
   As a data subject, you have the following rights vis-à-vis the controller:

   1. Access to information regarding the processing and a copy of your personal data pursuant to Art. 15 GDPR

   2. Rectification of your personal data in accordance with Art. 16 GDPR

   3. Erasure of your personal data in accordance with Art. 17 GDPR

4. One purpose of data collection is to enable the lawful assessment of your application as part of the allocation of places on a programme or your application to participate in an initiative. To this end, we store all data you provide to us as part of your application. On the basis of the data you have provided, the faculty-internal and central selection committees will assess whether you are eligible to take part in the programme in accordance with the programme objectives, the funding guidelines and/or within the limits of the available resources, or whether your application can be approved. If your application is approved by the Equal Opportunities Coordination Office, your documents and information – insofar as they are relevant to the further processing of the application and the disbursement of funds – will be forwarded to the administration of the University of Regensburg (Departments II, III or IV) for processing.
   The provision of your data is voluntary. However, the University of Regensburg (UR) requires your data in order to process your application. Failure to provide your personal data will mean that you cannot be considered for the initiatives.
5. A further purpose of data collection is to be able to remain in contact with you after the application process has been completed, with a view to establishing long-term contact. This will take place exclusively on the basis of your prior consent. Contact may, in particular, serve to invite you to future events relating to the Mentoring.UR and CoMeNT.UR programmes and to ask you at a later date – for example, after a few years – about your career development, your experiences in retrospect and your assessment of the mentoring programme. Furthermore, your consent may be used to collect and utilise a personal testimonial regarding your experiences with the public relations mentoring programme. Participation in these activities is voluntary. You may decide for yourself whether you wish to be added to the mailing list for future information and events, provide a testimonial, or both.
6. The legal basis for data processing for the purpose of the application is Article 9(2)(b), (f) and (j) of the GDPR, Article 8(1), first sentence, No. 2 of the Bavarian Data Protection Act (BayDSG), Article 6(1)(b) and (e) of the GDPR in conjunction with the performance of the UR’s duties pursuant to Article 2(5), sentences 1–3, and (6), sentence 2, and Article 22(1) of the Bavarian Higher Education Act (BayHIG). The legal basis for contacting you at a later date following the conclusion of the application process is your voluntary consent pursuant to Article 6(1)(a) of the GDPR, which you may withdraw at any time with future effect.

7. Data storage: Insofar as your personal data is processed and stored electronically, the technical operation of our data processing systems is carried out by UR’s Campus IT department and the State Office for Finance as data processors. Regarding the storage of your personal data when subscribing to the UR.Chancengleichheit newsletter, please refer to the privacy noticeprovided there .
   We will retain your personal data collected during the application and selection process for at least 12 months:

   1. In the event of an unsuccessful application or if you withdraw your application, we will destroy the data you have provided at the end of the calendar year following the year in which the vacancy was advertised. Retention within this period is necessary in the event of any legal appeals.
   2. If funding is awarded, your data will be retained electronically and in paper form for ten years after the end of the funding period. Thereafter, in accordance with the UR’s Archiving Regulations of 8 July 2004, the documents will be made available to the UR’s archive for possible archiving purposes (Article 5(1)(e) of the GDPR).

   We will store the data collected for the purpose of contacting you in the longer term in the manner described above until you revoke your consent.

8. No automated decision-making takes place in the processing of your personal data, nor is any data transferred to third countries or international organisations.
9. Your rights: As a data subject, you have the following rights vis-à-vis the controller:
   1. Access to information regarding the processing and a copy of your personal data in accordance with Article 15 of the GDPR
   2. Rectification of your personal data in accordance with Article 16 of the GDPR
   3. Erasure of your personal data in accordance with Article 17 of the GDPR
