4. Purpose of data collection: 
   Your data is collected and stored so that we can send you the UR.Equal Opportunities newsletter and to document your consent to receive it. Your data will not be disclosed to third parties, published, or used for advertising purposes.
5. Categories of recipients and data transfer: 
   The Equal Opportunity Coordination Office manages the newsletter and the associated mailing list. Your email address is viewed, managed, and used exclusively by members of the Equal Opportunities Coordination Office for the aforementioned purpose. Your email address is not publicly displayed, and no data is transferred to third countries or international organizations. The German Research Network (DFN) is responsible for the technical support of the DFN-Listserv server on which your data is stored.
6. Legal basis:
   We require your consent to collect and store your email address. You provide this consent via a “double opt-in procedure”: When you sign up for the newsletter, you will receive a confirmation request via email, which you must confirm. We then add you to the mailing list, and your subscription becomes active. Through this process, we document your consent to data storage based on Article 6(1)(a) of the GDPR.
7. Retention period:
   You can unsubscribe from the newsletter at any time by using the unsubscribe link included in each message, or by unsubscribing directly on the DFN mailing list unsubscribe page. After you unsubscribe, your email address will be automatically removed from the distribution list, provided there are no legal retention requirements.

8. Your rights: 
   As a data subject, you have the following rights vis-à-vis the controller:

   1. Access to information regarding the processing and a copy of your personal data pursuant to Art. 15 GDPR

   2. Rectification of your personal data in accordance with Art. 16 GDPR

The purpose of data acquisition is to enable us to carry out a lawful assessment of your application as part of the allocation of places for a programme or as part of an application process for funding. To this end, we store all data you provide to us as part of your application or funding request. On the basis of the data you have provided, the faculty-internal and central selection committees will assess whether you are eligible to participate in the programme in accordance with the programme objectives, the funding guidelines and/or within the limits of the available resources, or whether your application can be approved. If your application is approved by the Equal Opportunities Coordination Office, your documents and information – insofar as they are relevant to the further processing of the application and the disbursement of funds – will be forwarded to the University of Regensburg Administration (Departments II, III or IV) for processing.
   The provision of your data is voluntary. However, the University of Regensburg (UR) requires your data in order to process your application. Failure to provide your personal data will mean that you cannot be considered for the initiatives.
5. The legal bases for data acquisition and processing are Article 9(2)(b), (f) and (j) of the GDPR, Article 8(1), first sentence, No. 2 of the Bavarian Data Protection Act (BayDSG), Article 6(1)(b) and (e) of the GDPR in conjunction with the performance of the University of Regensburg’s (UR) tasks pursuant to Article 2(5), first to third sentences, and (6), second sentence, Article 22(1) of the Bavarian Higher Education Act (BayHIG).
6. Data storage: Where your personal data is processed and stored electronically, the technical operation of our data processing systems is carried out by UR Campus IT and the State Office for Finance as data processors.    We will retain your personal data collected during the application and selection process for at least 12 months:
   1. In the event of an unsuccessful application or if you withdraw your application, we will destroy the data you have provided at the end of the calendar year following the year in which the vacancy was advertised. Retention within this period is necessary in the event of any legal appeals.
   2. If funding is awarded, your data will be retained electronically and in paper form for ten years after the end of the funding period. Thereafter, the documents will be made available to the UR archive for possible archiving purposes in accordance with the UR Archive Regulations of 8 July 2004 (Article 5(1)(e) of the GDPR).
7. No automated decision-making takes place in the processing of your personal data, nor is any data transferred to third countries or international organisations.
